Summary: Regnor Knowledge sets up private knowledge assistants for businesses. Each client's assistant runs on the client's own accounts, so the documents and conversations inside it belong to the client and stay with them. This policy covers two things: the small amount of personal data we handle ourselves (people who visit this website, contact us or work with us), and how we treat client data when we set up or support a client's system. We do not sell personal data, and we do not use it for advertising. It explains your rights under India's Digital Personal Data Protection Act, 2023 (DPDP Act), the EU and UK General Data Protection Regulation (GDPR), and the California Consumer Privacy Act (CCPA), where they apply.

For the personal data described in Sections 3 to 5, we are the Data Fiduciary under the DPDP Act and the Data Controller under the GDPR. For data inside a client's system, the client is the Data Fiduciary or Controller and we act only on the client's instructions (see Section 6).
People who use a client's knowledge assistant at work should also read their employer's own privacy notice, because the client decides how that system is used.
| What we do | Why | GDPR basis | DPDP basis |
|---|---|---|---|
| Reply to you and arrange calls | To talk about your needs | Legitimate interest | Consent / legitimate use |
| Prepare a proposal | To offer our service | Steps before a contract | Consent |
| Set up and support your system | To deliver what you bought | Performance of a contract | Contractual necessity |
| Count website visits (only if you agree) | To see which pages help visitors | Consent | Consent |
| Issue invoices and keep tax records | To meet our legal duties | Legal obligation | Compliance with Indian law |
We do not profile you, make automated decisions about you, or use your data for anything beyond these purposes.
We do not sell, rent or trade personal data. We share it only with the services we use to run our business, and only as far as needed:
| Service | What for | What it receives | Where |
|---|---|---|---|
| Google Workspace (Calendar, Gmail) | Booking and email | Name, email, booking details, messages | Google LLC, United States |
| Vercel | Hosting this website | IP address and request logs | Vercel Inc., global network |
| Google Analytics (only if you agree) | Counting visits | Shortened IP address, pages visited, device type | Google LLC, United States |
| Google Fonts | Showing this website's typefaces | IP address when a page loads | Google LLC, United States |
| YouTube (sample pages only) | Playing demo videos | Data YouTube collects when you press play | Google LLC, United States |
We may also share data when the law requires it, for example in response to a valid order from a court or regulator, or to protect our legal rights in a dispute.
This section matters most to our clients, so we state it plainly.
We are based in India and work with clients worldwide. When we receive personal data from the EU, the UK or elsewhere, it is handled in India. Where the GDPR requires it, we will sign the EU Standard Contractual Clauses (or the UK equivalent) with you. Under the DPDP Act, transfers out of India are allowed unless the government restricts a country; no restriction affects our work today. Your own system's data stays wherever your hosting and model accounts are located, which you choose.
| Data | How long | Why |
|---|---|---|
| Contact details of people who did not become clients | 12 months after last contact | To follow up |
| Contact details of clients | Length of the relationship plus 3 years | Contract and support |
| Invoices and tax records | 8 years | Indian tax law |
| Email correspondence | Length of the relationship plus 2 years | Reference and disputes |
| Website visit counts (if you agreed) | As set in our Google Analytics settings, at most 14 months | Visit statistics |
After that, we delete or anonymise the data. You can ask us to delete your data sooner, subject to what the law requires us to keep.
If a personal data breach is likely to affect you, we will tell you without undue delay and within 72 hours of becoming aware of it. Where the law requires, we will also notify the relevant supervisory authority (Article 33 GDPR) and the Data Protection Board of India (Section 8(6) of the DPDP Act). We will explain what happened, what data was affected, the likely consequences and what we are doing about it.
Write to romil@regnor.systems to use any of these rights. We reply within 30 days, or tell you if we need up to 60 more days for a complex request.
Access a summary of your data and how it is used; correct or erase it; withdraw consent at any time; have grievances heard; and nominate someone to act for you if you cannot.
Access, correct or erase your data; restrict or object to its use; receive it in a portable format; withdraw consent at any time; and complain to your local data protection authority.
Know what we hold, ask us to delete it, and not be treated differently for using your rights. We do not sell or share personal information for advertising, so there is nothing to opt out of.
If you use a client's knowledge assistant at work, ask your employer first, because they control that data. We will help them answer your request.
This website links to other services, such as Google Calendar for booking and LinkedIn. They have their own privacy policies.
Our service is for businesses. We do not knowingly collect data from anyone under 18, and we will delete it if we find we have.
